Terms & Conditions- Ek-Prayas Project
Applicable to- Learning Centre Incharge I Block Coordinator I District Coordinator I Project Manager State I Zonal Coordinator I National Coordinator:
1. Introduction
“Ek-Prayas” is a flagship self-sponsored initiative of HIMALYAN Educational & Training Society (HEATS) dedicated to empowering women, children, and youth through education, skill development, and self-employment opportunities.
All project functionaries are expected to work with honesty, commitment, and a community-first approach to achieve the goals of the program.

3. Appointment Terms
- Appointment is project-based and honorary/voluntary unless otherwise notified by HEATS.
- Engagement is non-transferable and may be terminated for non-performance or misconduct.
- Duration of engagement depends on project continuation and satisfactory performance.
- Each appointee must sign a declaration of acceptance to abide by these terms and policies.
4. Duties & Responsibilities
Learning Centre Incharge
* Manage day-to-day activities of the Learning Centre.
* Maintain attendance records and ensure quality learning sessions.
* Promote community participation among women and children.
* Submit monthly reports to the Block Coordinator.
Block Coordinator
* Supervise and guide all Learning Centers within the block.
* Ensure proper implementation of the project at grassroots level.
* Conduct awareness drives and community meetings.
* Make continuous efforts to enroll maximum students from the block area into the project.
* Verify and compile monthly reports before forwarding to the District Coordinator.
District Coordinator
* Appoint and support Block Coordinators in all blocks of the district.
* Ensure that at least one active Learning Centre operates in each block.
* Conduct monitoring visits and ensure regular reporting.
* Encourage and assist Block Coordinators to bring maximum students under the project from their respective areas.
* Maintain coordination with local administration and educational departments.
State Coordinator
* Supervise project activities across all districts in the state.
* Organize capacity-building and review meetings for district teams.
* Submit state-level progress and utilization reports quarterly.
* Motivate and guide all District Coordinators to enroll the maximum number of students statewide.
* Establish linkages with government and non-government partners for program expansion.
Zonal Coordinator
* Monitor and evaluate project implementation across all states in the zone.
* Consolidate state reports and ensure compliance with HEATS standards.
* Plan and conduct zonal-level review sessions and awareness campaigns.
* Work to expand the reach of Ek-Prayas by ensuring each state brings in the maximum possible student participation.
* Report zone-wide performance to the National Coordinator.
National Coordinator
* Lead and supervise the entire project across all zones.
* Develop strategies for scaling and sustainability of the project.
* Coordinate with HEATS Head Office and external support agencies.
* Promote nationwide awareness and ensure every state team works to connect the maximum students under the Ek-Prayas initiative.
* Submit consolidated national reports and future recommendations to the Project Director.
- Code of Conduct
* All members must uphold honesty, transparency, and discipline.
* Misuse of the project’s name, logo, or identity is strictly prohibited.
* Members must maintain a respectful and gender-sensitive approach at all times.
* No political or personal financial activity is allowed under the project banner.
- Reporting & Communication
* Monthly and quarterly reports are mandatory as per HEATS format.
* Digital communication must be made only through official HEATS platforms (Whatsapp, Email, etc.).
* Field-level issues must be escalated to the immediate reporting authority.
- Training & Evaluation
* All appointed members shall attend project induction and periodic training sessions.
* Performance will be evaluated on the basis of enrolment growth, activity records, and field outcomes.
* Outstanding contributors may receive appreciation certificates or recognition from HEATS.
- Disciplinary Actions
HEATS reserve the right to take disciplinary action including suspension or removal in case of:
* Misconduct or unethical behavior.
* Submission of false data or misuse of project materials/funds.
* Repeated absence or poor performance.
- Confidentiality
All information, reports, data, and communications related to the project remain the property of HEATS and must not be shared with unauthorized persons.
- Declaration of Acceptance
By joining the Ek-Prayas Project, the individual affirms that they have read, understood, and agreed to abide by the above Terms & Conditions.
